Privacy policy
Last updated 18 October 2026
This policy explains what information Foundry Ventures (“CutroomOS”, “we”, “us”) collects when you use the CutroomOS Mac app, our cloud processing services, the CutroomOS MCP connection and cutroomos.com (together, the “Service”), and the choices you have.
At a glance
- Your original video files stay on your Mac. We never upload, move or change them.
- To make a video searchable, the app sends derived data — its audio track, still frames and thumbnails, under a random video ID — for processing in our cloud. File names and paths stay on your Mac unless you share them with an AI assistant.
- We do not use your videos or anything derived from them to train AI models, and we do not authorize our service providers to do so.
- We do not identify people by their face or voice. Speakers are labeled Speaker 1, Speaker 2 and so on.
- We do not sell your personal information or use it for targeted advertising.
- During the private beta we monitor service logs and requests to find and fix problems. Monitoring covers how the Service is working, not what is in your videos.
Who we are and what this policy covers
Foundry Ventures, a sole proprietorship based in India, provides the Service and is responsible for the personal information described in this policy.
For the videos you choose to index and the data derived from them (“Your Content”), you decide what is processed and we process it to provide the Service to you. This policy does not cover third-party services you choose to connect, such as an AI assistant, which are governed by their own terms and privacy policies.
Information we collect
Information you give us:
- Private beta sign-up: your email address, the workflow you choose (optional), the plan you selected (if any), the page you signed up from and when you signed up.
- Support and contact messages: your email address, the topic you choose and what you write to us.
- Account information, once accounts are available: your email address and sign-in details, your plan and the Macs you use CutroomOS on.
- Payment information, once paid plans are available: purchases are handled by our payment provider. We receive confirmation of your plan and billing status, not your full card details.
Your Content, when you use the app. You choose which folders and videos CutroomOS indexes:
| Data | Where it goes |
|---|---|
| Original video files | Stay on your Mac. Read in place, never uploaded, moved or modified. |
| File names and folder paths | Stay on your Mac. The app gives each video a random ID and keeps the link between the ID and the file on your Mac. |
| Video ID, duration, format and a content fingerprint | Sent to our cloud so each video can be registered and recognized. |
| Extracted audio track | Sent to our cloud for transcription and sound analysis. |
| Still frames (about one per second), keyframes and thumbnails | Sent to our cloud for visual analysis and to show results. |
| Higher-resolution frames or images you choose for a detailed look | Sent to our cloud only when you ask. Image metadata is removed first. |
| Transcripts, speaker labels, on-screen text and search indexes | Created and stored in our cloud. |
| Search queries, questions and the evidence used to answer them | Processed in our cloud to return results and cited answers. |
| Conversation history, linked folders, settings and assistant connections | Stored on your Mac. |
Information collected automatically:
- App: a summary of your Mac’s capabilities so the app can decide what to process locally, and usage records such as how much footage was processed, to apply plan limits. Logs the app writes on your Mac stay there unless you choose to send them to us with a support request.
- Service logs: our cloud services record technical information about each request, such as when it happened, the type of request, processing status, errors, performance measurements, app version and an account or device identifier. See Service logs and monitoring.
- Website: we use an analytics provider to measure basic traffic on cutroomos.com — pages viewed, referring sites, device and browser type, approximate location derived from your IP address, errors and page performance. If you accept analytics cookies, we also record clicks and session recordings. See Cookies and analytics.
How we use information
- To provide the Service: index the videos you choose, return search results and cited answers, and keep your library up to date.
- To run the private beta: send invitations, onboarding and important updates about CutroomOS.
- To provide accounts, plans and billing once they are available.
- To respond to support requests and other messages.
- To monitor the Service, especially during the private beta, so we can find and fix errors, failures and performance problems.
- To keep the Service secure and reliable, prevent abuse and enforce our Terms of service.
- To understand and improve our website using analytics.
- To comply with legal obligations.
Where data protection laws such as the GDPR apply, we rely on performance of our contract with you, our legitimate interests in running and securing the Service, your consent where we ask for it, and legal obligations.
AI processing and model training
CutroomOS uses AI models to analyze the derived data from your videos and to write cited answers. Analysis runs on cloud GPU infrastructure we operate through a specialized compute provider. Answers are written by a third-party AI model provider through its API, from your question and the relevant excerpts from your library.
We do not use Your Content — your videos, the data derived from them, your questions or the answers you receive — to train or fine-tune AI models, and we do not authorize our service providers to use it to train theirs. Our AI model provider does not use data sent through its API to train its models, and our compute provider’s terms prohibit it from training AI models on our customers’ data.
Our AI model provider may keep API inputs and outputs for up to 30 days to monitor for abuse, and longer only where required by law or to protect against harm, after which they are deleted.
AI output can be incomplete or wrong. That is why every result links to the moment it came from, so you can check it.
Service logs and monitoring during the private beta
While CutroomOS is in private beta, we actively monitor service logs and requests so we can understand how the Service is behaving and quickly find and fix problems such as failed indexing, errors and slow responses.
These logs record how the Service is working, not what is in Your Content. They contain technical details such as timestamps, request types, processing status, error codes, performance measurements, app version and pseudonymous identifiers for your account, device and videos. They do not contain your videos, still frames, audio, transcripts, search queries, questions or answers.
We do not look at Your Content when monitoring the Service. Our team accesses Your Content only if you ask us to as part of a support request, or where strictly necessary to investigate abuse or comply with the law, and then only to the extent needed.
Service logs are kept for up to 90 days and are used only to operate, secure and improve the reliability of the Service.
People in your videos
CutroomOS does not use facial recognition and does not identify who someone is from their face or voice. Speech is attributed to anonymous labels such as Speaker 1 and Speaker 2. We do not create faceprints or voiceprints.
If we add optional face or voice features in the future, they will be off by default, encrypted end to end for your account, and visible and editable only by you. We will update this policy before they are available.
Your videos may include other people. You are responsible for having the rights and any permissions needed to process recordings of them with CutroomOS.
How long we keep information
| Data | Retention |
|---|---|
| Private beta sign-ups | Until the private beta ends, or sooner if you ask us to remove you. |
| Derived data, transcripts and search indexes | For as long as the video stays in your CutroomOS library. When you remove a video or close your account, we delete it from our active systems within 30 days. |
| Intermediate search and answer results | About 24 hours. |
| Service logs and monitoring data | Up to 90 days. |
| Backups | Up to 13 months, after which deleted data is gone from backups too. |
| Support messages | As long as needed to resolve your request, then up to 2 years. |
| Account and billing records | For the life of your account, and afterwards as long as the law requires. |
| Website analytics | Session recordings 30 days; other analytics according to our analytics settings. |
Security
We protect information with encryption in transit, access controls and separation of customer data. On your Mac, sign-in credentials are stored in the macOS Keychain. No system is perfectly secure, so we cannot guarantee absolute security, but we work to protect your information and will notify you of a breach where the law requires.
International transfers
We and our service providers process information in the United States, Singapore and other countries that may not have the same data protection laws as yours. Where required, we use safeguards such as the European Commission’s Standard Contractual Clauses.
Your choices and rights
In the app, you choose which folders and videos are indexed, can remove videos from your library, and can create, limit and revoke assistant connections at any time. Revoking a connection stops future requests; it cannot recall information an assistant has already received.
Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to or restrict certain processing, and to withdraw consent. To make a request, email admin@cutroomos.com. We will respond within the time the law requires, usually 30 days, and may need to verify your identity.
If you are in India, you have the rights given by the Digital Personal Data Protection Act, 2023, including to access, correct and erase your personal data, to withdraw consent, to nominate someone to exercise your rights, and to have grievances addressed by our Grievance Officer. If you are in the European Economic Area or the United Kingdom, you can also complain to your local data protection authority. If you are a California resident, you have the right to know, delete and correct your personal information, and we will not discriminate against you for exercising these rights. We do not sell or share personal information as those terms are defined under California law.
Grievance Officer
In line with Indian law, our Grievance Officer is Bhavyadeep Purswani, who can be reached at admin@cutroomos.com. We will acknowledge grievances promptly and resolve them within one month of receipt.
Children
CutroomOS is not intended for anyone under 18 and we do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy as CutroomOS changes. We will post the new version here with a new date and, for material changes, tell you by email or in the app before they take effect.
